Description:

How to track but not pay an employee for certain hours the employee enters on a timesheet. How to allow the employee to save, or bank, these hours for later use.

Resolution:

As employees enter time, Ajera can track and reimburse employees for banked hours by using accrual pays. This option is only available if you are processing payroll in-house. Ajera can accrue banked hours and reduce them every time an employee enters time to banked hours on a timesheet, much like it does for vacation or sick time. Ajera can then list the hours accrued and the year-to-date total on the Accrual Pay Balance report.

  1. To set up a pay for accruing banked hours, set up a pay to track balances for banked hours:
    1. Select Company > Payroll > Pays and click New.
    2. Enter a description for the pay (such as Banked Time accrual).
    3. Select Accrual as the type.
    4. Leave the Rate field blank (Ajera automatically inserts a zero if you leave it blank).
    5. Select Company > Beginning Balances > Payroll and enter any beginning balances for banked time.
  2. To set up a pay for reducing banked hours, set up a pay for entering and using banked hours:
    1. Select Company > Payroll > Pays and click New.
    2. Enter a description for the pay (such as Banked Time).
    3. Select Other as the type.
    4. Select the expense account to use for the pay, if needed.
    5. In the Reduces Accrual field, select the pay that you set up in step A instructions.
  3. To link the timesheet item to the pay used for reducing banked hours:
    1. Add the Banked Time pay you created in step B to each overhead group. Once this pay is in the overhead group, it will display on timesheets, where employees can enter time for it.
    2. Open the list of overhead groups by selecting Setup > Overhead Groups and then complete the following steps:
      1. Double-click an overhead group.
      2. On the first blank row, enter the description you want to appear for the banked hours on the timesheet (such as Banked Time).
      3. If you are tracking overhead time to an overhead project and phase, enter that Project and Phase information.

To track the Banked time to a specific activity:

  1. Click the button in the Activity field to display the Activity list.
  2. Either select the activity, or set up a new activity by:
    1. Selecting New.
    2. Entering the activity information
    3. Clicking Save.
    4. Selecting the new activity.
  3. In the Pay column, select the pay you set up in step B of these instructions.
