Tracking Nonbillable time to projects

Resolution: 

When setting up a project in Ajera, you can add phases to track nonbillable cost.

Example: One phase of the project has billing type of Marketing and another phase has billing type of Nonbillable. These costs are included in the overall costs of the project, but do not get billed to the client. To bill all costs:

  1. Change the project phase billing type to Time & Expense or Fixed Fee.
  2. Ajera gives you the flexibility through client invoices to select individual WIP items and change to billable status. To edit the invoice:
  3. From the top of the Edit window, click Entries.
  4. Change the filter to include Nonbillable WIP entries.
  5. Highlight the group of entries, then left-click select Billable.

Once this has been changed, the time & expense is on the invoice and is also moved from Indirect to Direct time on the Employee Utilization report. In addition, after Project Managers review Billing report they may determine WIP is nonbillable, so you can change status of WIP to nonbillable or writeoff.
