Resolution: (two options)
Option #1:
- Create a new Benefit code for PTO in Config > Accounting > Time Analysis on the Benefit Accrual Setup tab
- Assign new PTO benefit code to employees in Employee Info Center > Accounting tab: Benefit Hours grid and at same time disable Vacation and Sick Leave benefit codes by unchecking box for Use Schedule and make sure Hour Per Year is blank.
- In Utilities > History Loading > Benefit Accruals pull up each employee and update the Starting Balance as necessary.
- If any YTD Earned or YTD Taken values need to be updated, do that in Human Resources > Benefit Hours > Adjustments.
Option #2:
Note: Perform a backup before running this utility.
- In Utilities > Key Conversions > Accrual Codes, click Insert and select the Vacation benefit code. Type in the New Accrual Code PTO. Results: this will change the name of Vacation to PTO throughout Vision (including all previous history). Click Run.
- Click Insert again selecting Sick Leave in the Accrual Code field and put PTO in the New Accrual Code field. Check the box for Combine Existing Accrual Codes. Click Run. Results: this will merge the Starting Balance, YTD Earned and YTD Taken amounts for Sick Leave and PTO.
- In Employee Info Center on Accounting tab > Benefit Hours grid: make changes if needed for the new PTO benefit code.
- If Starting Balances need to be adjusted, do that in the Utilities > History Loading > Benefit Accruals.
- If YTD Earned or YTD Taken values need to be updated, do that in Human Resources > Benefit Hours > Adjustments.
Note: This method gets rid of old benefit codes but it is global and will merge the benefit codes for all employees using them.
