Cause:
- Printing from the preview window and not directly to the printer.
- Printing with incorrect margins.
- Current forms not loaded properly in the application.
- Not using 2-up W-2 Form (2 forms per page)
Resolution:
Print directly to a printer:
- If the form is printed from the print preview window or from an Adobe file, the alignment will not be correct.
- For the W-2 Form or 1099-Misc Form to print correctly it is recommended to print directly to the network printer:
- In the W-2 or 1099-Misc Form Print-Web Page Dialog window, select from the drop down a network printer.
- Select Print.
Note: A network printer is a printer with a specific name not "local printer" in the printer drop down box.
To keep the same network printer as the default printer for the user:
- Configuration > Security > Users and Passwords.
- Select the User > under Report Printer select the network printer.
- Select Save.
- Log out and log back into Deltek Vision, to see this change in the software.
No network printer available:
In some cases, it is necessary to print from the Adobe preview window when there is no network printer configured. For example, if the Deltek Vision application is hosted by another provider.
- In the W-2 or 1099-Misc Form Print-Web Page Dialog window, select from the drop down the local printer.
- Select File > Print.
- Verify under Printer, Name, that the printer is listed.
- Under Page Handling, Page Scaling, select from the drop down None.
- Select OK to print the Forms.
For incorrect margins:
- From the toolbar in Form W-2 or 1099-Form Processing window, select Print > Advanced Printing.
- Select Use Default Layout.
- In most cases the default layout will work successfully. However, if the margins need to be slightly adjusted, select Use Custom Layout option, and then adjust the margins to line up to the printed copy.
- Select Close.
Note: When trying to line up the W-2 Form or 1099 Form using regular paper, hold the printed page to the hard copy of the form by a window to verify the margins.
To confirm that Deltek Vision is working with updated forms:
- Reload the reports from Utilities > Report Administration, Load Reports tab.
- Select Report Type of Standard.
- Check the box to Delete existing reports in each folder before loading.
- Select Load Reports.
