Resolution: 

Complete the following steps to setup Pools in CostPoint:  

Important Note:  These steps are detailed and may take patience to compete successfully. 

  1. Map out the pools in a spreadsheet, with the accounts and organizations listed, including the cost and base, the allocations and the variances.

    Note:  Printing a Chart of Accounts or an Account Org Listing first may help.
     
  2. Use the sequence numbers to indicate the order in which the pool will be processed. In other words, do not use the same sequence number on a pool which feeds into another pool. Check the pool setup before continuing to the next pool.
  3. Use the Base and Cost Creation Setup and Create Pool Links to set up wildcards for the Pool Cost and Pool Base subtasks.
  4. Check the basic set up of the pools with the following: 
    • Under Cost and Revenue Processing > Miscellaneous Toolkits, run the process called Check Pool Acct > Org Setup to check the logic of the cost pool setup.
    • Under Inquiry and Reporting > Initialization Reports, use the Print Pool Setup to vary the logic of the cost pool setup.
  5. In a test database, post some journal entries to each of the pools cost and pool base accounts.

    Note:  Compute Pool Rates and Print a Statement of Indirect Expenses to make sure the calculations are accurate.
     
  6. In the test database, post the Pool Journal, and confirm the distributions.
  7. In the test database, print an Income Statement and check the indirect cost lines to the Statement of Indirect Expenses.
  8. In the test database, run Build Rate Application Table, Compute Burden Cost, and Update Project Report Tables and then print a Project Status Report to confirm the burdening of projects.
  9. In the test database, print an Organizational Cost Summary under Projects > Inquiry and Reporting > Status Reports.

    Note:  If printed by pool, this report will show the burdening of each project.
     
  10. If all appears correctly, set up the same configuration in production database.
